JOB SUMMARY:
The Medical Receptionist serves as the first point of contact for patients at LUX Infusion, ensuring a welcoming and efficient experience. This role supports the operational flow of the infusion center by managing patient check-ins, scheduling appointments, maintaining records, and assisting the clinical team with administrative tasks. The Medical Receptionist contributes to the luxurious and patient-centered environment that defines LUX Infusion.
CRITICAL RESPONSIBILITIES:
Greet patients and visitors warmly upon arrival, ensuring a positive first impression of the infusion center.
Manage patient check-in and check-out processes, including verifying insurance, collecting co-pays, and updating patient information.
Schedule and coordinate infusion appointments, ensuring optimal use of treatment suites and alignment with nursing staff availability.
Answer phone calls and respond to patient inquiries, providing general information under the direction of the Patient Navigator and NP-Branch Manager.
Maintain accurate and confidential patient records using electronic medical record (EMR) systems.
Prepare treatment areas by ensuring necessary paperwork, supplies, and schedules are ready for nursing staff.
Assist with insurance verification and pre-authorization processes for infusion therapies as needed.
Monitor and order office and clinical supplies to maintain a well-stocked and organized environment.
Uphold infection control and safety protocols in the reception and patient waiting areas.
Provide administrative support to the clinical team, including faxing, scanning, and filing documentation.
Assist with customer service tasks, such as appointment reminders and resolving scheduling conflicts.
Participate in ongoing training to stay updated on LUX Infusion policies, procedures, and software systems.
Other duties as assigned by the Intake Manager and NP-Branch Manager
KNOWLEDGE AND SKILLS:
Exceptional customer service and interpersonal skills with a focus on patient comfort and satisfaction.
Proficiency in managing multiple tasks in a fast-paced healthcare setting.
Strong organizational skills and attention to detail for accurate scheduling and documentation.
Basic knowledge of medical terminology, insurance processes, and infusion therapy workflows (preferred).
Competence in using EMR systems and basic computer applications (e.g., scheduling software, Microsoft Office).
Ability to maintain professionalism and composure under pressure.
Collaborative mindset to work effectively with nursing staff, providers, and patients.
Adaptability to handle shifting priorities and patient needs.
OTHER REQUIREMENTS:
Maintain strict confidentiality of patient information in compliance with HIPAA and LUX Infusion policies; breaches may result in immediate termination.
Comfort working in a dynamic clinical environment with diverse patient populations.
Willingness to travel occasionally for training or support at other LUX Infusion locations (Palmer or Fairbanks).
EDUCATION & QUALIFICATIONS:
High school diploma or GED (required).
Previous experience as a medical receptionist or in a healthcare administrative role (preferred).
Certification in medical office administration (e.g., Certified Medical Receptionist - CMR) is a plus.
Current BLS-CPR certification (preferred but not required).
Familiarity with outpatient or infusion center operations (preferred).
Excellent time-management and problem-solving skills.
